Warlord.OS legal

Privacy Policy

This policy covers the Warlord.OS Windows desktop application, the warlord-os.com website, Warlord.OS accounts, membership services and community features. It explains what personal information the product can access and how that information is collected, used, stored, disclosed and deleted.

1. Who controls your data

2. Information stored locally by the Windows app

Warlord.OS is local-first. The desktop app stores its main application database, generated and imported media, settings and logs on your Windows device. Depending on the features you use, local information can include:

The app processes this information locally to provide the features you request. Warlord.OS does not automatically upload the contents of your local database or media library to us.

3. Files, microphone, camera and browser activity

The desktop app accesses a file or folder only when you select it, configure it as a source or destination, or start a feature that needs it. Voice, camera, capture and recording features can access the microphone, camera or selected on-screen/browser content only when you start the feature and Windows or the embedded browser grants access. This content is used to perform the requested local creation, editing, transcription, import, recording or privacy function.

Ghost Cam and other embedded-browser features necessarily send normal web requests to the sites you visit. Those sites can receive your IP address, browser information and anything you submit to them under their own privacy policies.

4. Information handled by our website and account service

Warlord.OS does not receive or store your full payment-card details. Paddle handles payment information under Paddle's Privacy Policy.

5. Connected services and content you choose to send

Warlord.OS connects to an outside service only when you configure or authorise that connection. When you request an AI generation, social publication, store action, download, backup or other connected task, the app sends the information needed for that task to the provider you selected. This can include prompts, uploaded media, post text, account identifiers, product data and authentication tokens.

Providers can include social and commerce platforms such as Meta, X, Google/YouTube and Shopify; AI, media and coding providers you choose to connect; and backup or storage services you configure. The selected provider processes the information under its own privacy policy. If you arm an automation, the same transfer can occur automatically at the schedule and within the scope you approved. A local AI or editing feature keeps its input on the device unless that workflow also uses a connected provider.

6. Why we use information and our lawful bases

We do not sell personal information or use it for third-party advertising.

7. Who receives information

We share only what is necessary with Paddle for checkout and subscription administration, Netlify for website hosting, Neon for hosted account and community database services, providers you connect under section 5, and professional advisers or public authorities when required by law. We do not receive a copy of information sent directly from your device to a provider merely because Warlord.OS helped you make that request.

8. Storage and security

Local app data is stored under the Warlord.OS application-data folder in your Windows user profile. Connected-service tokens and keys stored in the local database are encrypted, and the hosted-account device credential is stored using Windows-supported encrypted storage. Keep your Windows account secure and do not share exported databases, media, backups or logs unless you intend to disclose their contents.

Hosted account, community, membership and security records are stored using the service providers named above. We use reasonable technical and organisational safeguards, but no storage or transmission method is completely secure.

9. Retention and deletion

Local data remains on your device until you delete it. Uninstalling Warlord.OS can preserve the application-data folder so that an update or reinstall does not destroy your work. To remove it completely, delete the Warlord.OS data under your Windows application-data folder after uninstalling, after first exporting anything you want to keep.

We keep hosted personal data only while needed to provide and secure the service and to meet legal, tax, accounting, fraud-prevention and dispute requirements. We then delete or anonymise it where appropriate. Licence claim tokens expire after 24 hours and are stored only in hashed form. Public posts may remain visible until you delete them or ask us to do so, subject to legal retention requirements.

10. International processing

Some providers may process information outside the United Kingdom. Where required, we rely on a lawful transfer mechanism and appropriate safeguards. Contact us for information about safeguards relevant to your data.

11. Browser storage

The website uses essential cookies or similar storage for sign-in, security and account functions. The billing service uses browser session storage for a short-lived activation claim. Paddle may use storage necessary to provide secure checkout. We do not use third-party advertising trackers on the billing service.

12. Automated entitlement decisions

Licence access is updated automatically from Paddle payment and subscription events. If you believe an entitlement decision is wrong, contact us and ask for a human review.

13. Your rights

Depending on the law that applies, you may have rights to access, correct, erase, restrict, object to or receive a copy of your personal data, and to withdraw consent where consent is relied on. Contact us to exercise a right. You may also complain to the UK Information Commissioner's Office. Requests concerning data held by a connected provider may need to be directed to that provider.

14. Children and changes

Warlord.OS subscriptions are for people aged 18 or over. We may update this policy and will publish the revised date on this page.
